What's New for Version 5.41.xx.xx
At Windward Software we are continually working to provide increased efficiency and more flexibility in our products. The latest version of System Five includes several new features and enhancements. The following topics provide an overview of some of the new features, changed behaviors, and improved documentation you will find in the software.
Accounts Receivable
- Support was added for pre-authorized credit cards in the Create Recurring Invoices function.
- The customer unique number can now be displayed in the results of the Find Customer window by customizing the grid.
- Two new option were added to the Statements report - Settings tab to include layaways and work orders.

Appointments
- When editing or creating an appointment, there is now a Purpose field underneath the Activity field (provided that the option to use task activities is enabled in the Appointments Setup). This field is configured in the Setup Wizard> Miscellaneous> Appointments> Appointment Purpose Setup much like the task activity is configured. The intent of this field is to help categorize the task activity at a higher level.

Data Load
- In the Customer Data Load window, there is a new option (on the fourth step of the process) in the checklist, that allows you to NOT update customers with purchases.

General Ledger
- Added support for QIF (Quicken Interchange Format) import for the bank reconciliation. The QIF format was abandoned 10 years ago, but some banks are still supporting it as their only export format.
- G/L postings are now queued up for posting until the entire transaction (invoice, journal, bill, check or payment) is closed. This prevents the balance sheet from being out of proof while the transaction is being made or edited. A check is made to ensure that the new transactions are balanced (or makes them balanced). If the transactions do not balance, they are not posted and show in the unbalanced transaction listing. This prevents the G/L from being out of proof.

Inventory
- Added a new batch option to Physical Count (Count Batch Options sub-tab) to include only items marked for a forced count.
- When processing a count batch, adjustments that could not be processed show up in yellow on the final Variance report.
- Before a scan batch can be attached to a count batch, there must be a serial number entered for serialized items. An error message is now displayed and the offending line highlighted in yellow.
- A new warning message is now displayed when deleting a count batch line that has a scan batch item attached.
- Added a new option for count batches to include serialized items (Count Batch Options sub-tab). Batches will no longer include serialized items by default.
- Before processing a count batch, the system now confirms that none of the serialized items marked for removal from inventory are on layaway or attached to a work order.
- Launching the Fast Stock function, from previously customized menus that still include Fast Stock, now opens the Physical inventory Count window.
- The Sales Warning/Upsell Comment is now shown on the Part Details tab of Part Find.
- Oversold quantity is now available in three more areas of the program: Inventory Details, Part Find, Stock History.
- Added an option to the Physical Inventory Count window - Count Entry tab to zero all uncounted items in the batch.

Invoicing
- .If the popup Tender Change dialog box is being used for quick cash / Touch Screen invoices, it remains visible with the change from the prior invoice when the next blank invoice is created.
- Added a new Setup Wizard option to set a default pack size when scanning parts on an invoice. Additional [Pack Size] buttons can now be created in the Touch Screen Designer.
- A clerk can now enter a quantity in the Quick Sale - Enter Item No field and then scan item to add an item to the invoice and create an invoice line.
- Scanning a salesperson in an invoices now reacts based on the commission style.
- Completed invoices can not have back orders unless they have an associated customer.
- The Invoice Designer option to print Serial Numbers horizontally also applies to the optional SerialBarcode values now.
- Notes and freeform comments now copy over when duplicating an invoice in Point of Sale.

POS Device Manager
- Avery scale type is now supported (Scale tab).
- A "Prompt" scale type added to the pos device manager. This brings up a dialog box to enter weight for those stations that do not have an integrated scale when selling by weight (Scale tab).
- An OPOS coin dispenser function now available.

Purchase Orders
- You can now sort the Purchase Order Details window - Items tab grid as well as design the PO and Receiving forms to print sorted by Description.roughout the program the Lookup Word control is large enough to display all 20 characters in both the Available and Attached lists.

Reports
- Both the Process Outstanding Orders and List Open Work Orders & Layaways reports now support printing both Invoice and Shipping Part labels based on the Invoice & Multi-Invoice trees.
- There is a new option on the Inventory Integrity report, Settings tab to "Validate stock reserved on Work Order".
- The SFIP report now also includes Customer Lookup Word criteria.
- The Inventory Value report and Open to Buy report have a new Show Stock Allocation option and new columns on the View tab.
- The Inventory Report Designer now supports both Include and Exclude by Lookup Word filters and the ability to Add Lookup Words to the items in the report, just like the Customer/Supplier Report Designer.
- United Arab Emirates (UAE) currency was added to POS Transaction report (Tender tab).
- The Purchase Orders tab on the Required Orders report now has a Comment area on the right side. This box is populated with the Supplier's comment if one exists.
- For the Required Orders report, the supplier on the tab now dictates the Supplier Part Number displayed for all parts on that tab.
- For the Required Orders report, there is a new option on the Settings tab for including parts that do not have a supplier. When checked a new tab is created for parts that meet the other criteria, but do not have an assigned supplier. You can double-click the lines on this new tab and select a supplier to order from. If the supplier already has a tab in the Required Orders report, the part is moved to that tab, if not a new tab is created and the part is moved. The part is also removed from the 'No Supplier' tab. If there are any parts left on the 'No Supplier' tab when you click the [Create All POs] button, the system prompts you about creating a Purchase Order without a supplier.
- For the Required Orders report, [Required] = [Value] - [Existing] The Include options on the Settings tab have now been split into two columns. The left column provides options for the [Value] variable.The right column provides options for the [Existing] variable.Previously these were mixed together and it was very difficult to understand.
- For the Required Orders report, The Sales over period option on the Settings tab needs to mention that the Qty On Order and Qty on Unsent POs affects the In Stock qty.
- For the Required Orders report, the Purchase Orders tab lists all of the suppliers and now has a Select column that allows you to select specific suppliers prior to clicking the [Request Quote] or [Create POs] buttons. Only the selected suppliers are used when creating either POs or Requests. The popup menus now both work the same way adding the current supplier name to the Request and Create menu items.
- In the Required Orders report, the Details grid on the Suppliers tab now includes a colour indicator and the Invoice Item Comment as a popup hint.
- A new cost option section has been added to the Required Orders report - Settings tab that allows you to choose between Cost and Landed. Note: The Landed option displays the Landed cost from the Inventory record, but the Alternate Supplier information doesn't include a Landed Cost, therefore the information in the Alternate Supplier grid does not change with this option.
- Special Order stock is included on the Required Orders report even when it is marked for deletion.
- The Required Orders report - Suppliers tab columns names have changed to better describe the information in the grids.
- For the Required Orders report - Suppliers tab, a new column has been added for the Part Number, labeled as 'Part#' and the Supplier Part Number column has been re-labeled as 'Sup. Part#'.
- A new check box has been added to Auto refresh after a Part edit on the Required Orders report - Settings tab. This check box defaults to 'unchecked' and is not remembered by the system, so you need to check the box each time you want the behavior. When checked the Required Orders report is refreshed after you double-click a partand edit it in one of the supplier tabs.
- Added a right-click menu option to Required Orders report- Suppliers tab & PO screen to show Work Order Quantity details.
- A new option was added to the Required Orders report - Settings tab for non-countable parts when Special Orders or Back Orders or Queued Orders are selected. This option is only enabled if one or more of the three are checked. The system remembers the setting. When none of the three are selected, non-inventory parts are ignored. Additionally if the Sales over Period report method is selected, the Consignment and Floorplan parts are skipped. Note: Kit Types 150 and 130 (Dynamic Exlpoding) are always ignored regardless of the selected options or report methods.

Setup Wizard
- The use of Full SQL Escaping is now optional to allow for special character handling in certain languages.
- A new option in Setup Wizard > Multi-currency set up enables a currency warning when creating an invoice for foreign customers if the currency rate has not been set for the day..

Special Modules
- Corrected an issue where previous rental rates were no longer available when the rental Calculation Type was changed in Setup Wizard> Rental Rules.
- Added a new rental option to charge hourly rates based on the business hours entered in the Setup Wizard. Only effects hourly rates.
- Added a new rental option in the Setup Wizard to charge only rental rates that are valid throughout the entire contract.
- Barcodes can now be scanned in the Returns tab of the rental scheduler to find/select invoices for returning items.
- Freeform comments and comment notes are copied to new invoices when running the Renew Rental report.
- Tasks now replicate between main and Standalone LAN datasets. Note that existing standalone datasets must be recreated in order to use this feature properly, and that some configuration settings and advanced appointment features are not replicated.
- Redeem Points promotion to only prompt once at end of invoice (instead of once for every invoice line).

XML Central
- Now XML Export window - Settings tab allows you to set the ability to prompt the user for a filename when performing an export.
- Now XML Import window - Settings tab allows you to display the following record types as they are imported: customers & suppliers, invoices, inventory, appointments, support incidents.
- Added a drop-down list on the E-Commerce tab of the XML Export window that lets you override the import type command that the system automatically sends the e-commerce system. Note that this is an advanced feature since it can't be used effectively without an XSL stylesheet.ughout the program the Lookup Word control is large enough to display all 20 characters in both the Available and Attached lists.
